Contract, invoice, and changes stay on one order
The contract is drafted when part, quantity, and delivery are set. Cancellation, quantity changes, split shipments, invoices, and shipping stay on that order.
Which fields become the contract
An order needs a part number, a quantity, and a delivery. When those are set, the system drafts a contract for print or online confirmation. The price is that customer’s contract price or list price for this order. It is not copied from another customer.
A cart and a requisition are not a contract. The requisition says what the team wants to buy. Signing starts after approval becomes an order.
Where changes are written
Cancellation, a smaller quantity, and a split into two shipments are written on the original order, and the earlier quantity is kept. Reconciliation can see the first confirmed figure and the later one. A split shipment still points back to the original order.
An invoice can follow the order, or support can register a request from a message first. The invoice record stores the order number. It does not live in a sheet that has no order.
The client’s own business system
The order can be pushed to the system the client names, or exported. The payload includes the order number, part, quantity, delivery, contract state, and shipment state. If the other system assigns its own number, the mall order number remains the key for reconciliation.
After tracking is recorded, the buyer and the admin see the same progress on the order. Pickup and multi-warehouse shipping use the same order. The warehouse and the method sit on the shipment record.
Common questions
Does a quantity change need a new order?
No. The change stays on the original order, and the earlier quantity is kept.
Can an invoice start before the contract?
Support can register an invoice request from a message. The record still names the order.
Does the original order remain after a split?
Yes. The split shipment points back to it.
Which number is used after a handoff?
The mall order number stays the reconciliation key. The other system’s number is stored beside it.
